The best system is the one your team can use on a busy Tuesday. Test one complete collision repair, involve every role, open a sample export, verify the full working price, and make the vendor prove the workflows your shop cannot compromise.
1. Decide what the system must own
Collision estimating and shop management are related, but they are not always the same job. Your estimators may need to stay in CCC ONE, Mitchell, Audatex, AdjustRite, or another estimating platform while the management system runs production, parts, communication, payment, and reporting.
Ask each vendor to draw the handoff. What enters automatically? What requires a file import? What happens when a supplement changes labor hours, parts, or totals? Can the team review a new version before it changes the repair order? Does the original estimate remain available?

- Create or import the customer, vehicle, claim, estimate, and supplement.

- Set the drop-off and promise date against real labor capacity.
- Assign the advisor, technician, and next owner.
- Move the repair through production and record a blocker.
- Order, receive, return, and credit parts against a purchase order.
- Send a customer update and capture the reply on the repair order.
- Share supplement evidence with an adjuster without creating an adjuster account.
- Record time, sublets, payments, signatures, quality checks, and delivery proof.
- Close only when the balance, parts, documents, and required checks are complete.
If the demo cannot show the whole path, note where staff will switch tools or re-enter information. Those gaps become daily labor after purchase.
3. Test the production view from the floor
A production board should answer simple questions quickly: Which cars are late? Which are blocked? Who owns the next move? What part or approval is holding the job? How long has it been in this stage?
Then test the technician experience. A technician should see assigned work, urgency, the next action, and job-clock controls without seeing rates, part costs, estimates, or balances that the role does not need. Open the same repair on a desktop, phone, and shop tablet. If the shop uses shared devices, test fast user switching and attribution.
4. Inspect parts and document handling
Parts work often exposes whether the system is truly connected. Ask to see needed, ordered, backordered, problem, returned, credited, and received states across all open repairs. Test purchase orders, partial receipts, vendor invoices, price differences, ETA changes, and core or return tracking.
Also ask where the evidence lives. A strong repair record should keep photos, PDFs, scans, invoices, receipts, and messages tied to the correct repair order and, when relevant, the purchase order. Search should find the job without knowing the exact RO number.
5. Test customer and adjuster communication
Send a real test message. Confirm where the customer's reply appears, who can answer it, and whether the conversation stays attached to the repair. Review consent records, opt-out handling, templates, language options, photo sharing, secure links, and the customer status page.
For adjusters, test a supplement package with totals, photos, markup, documents, and an approval or signature request. The reviewer should not need a permanent shop login. The shop should be able to see what was sent and what happened next.

6. Verify money, accounting, and reporting
Ask the system to show insurer and customer balances separately, record deposits and refunds, produce a receipt, and prevent closeout when money or required work remains open. Then test accounting with your bookkeeper. Confirm which customers, invoices, payments, taxes, parts, labor, and materials sync or export. 7. Review security like an owner

Ask the vendor:
- Are data encrypted in transit and at rest?
- Are shop records isolated from other customers?
- Is multi-factor authentication available?
- Can permissions hide financial fields from technicians?
- Are sign-ins, support access, and material changes logged?
- How often are backups taken, how long are they retained, and how often is recovery tested?
- What is the incident-notification process?
- Where are primary data and backups hosted?

8. Make data access an acceptance test
Ask for a sample export before signing. Open it. Confirm that identifiers and relationships survive, not just names in a flat list. Check customer, vehicle, claim, repair order, estimate, supplement, part, payment, message, and audit records. Download photos and documents too.
Ask whether export is self-service, whether media uses a separate process, and what happens when the subscription ends. A promise that "your data is yours" matters only if the owner can retrieve usable records in time.

9. Compare implementation, not just features
Request a written launch plan with owners and dates. It should cover configuration, users, permissions, templates, estimating connections, accounting, payment setup, data decisions, training, pilot repairs, and first-week support.
Decide what history truly needs to move. Keeping the old system or a verified export for closed work can be safer than forcing years of inconsistent data into a new workflow. Bring active repairs across carefully and reconcile open balances, parts, supplements, and promise dates.
